A CE Planning System for Travel Nurses

Short answer
Travel nurses need a license-by-license renewal plan, even when one multistate license supports several assignments. Track each actual license's expiration date, education rules, and reporting steps, then maintain one certificate archive. Choose overlapping education only after confirming that every receiving authority accepts it.
Inventory licenses rather than assignment locations
Start with the licenses you actually hold: your home-state license, any separate single-state licenses, and any APRN authorizations. Record status, expiration date, renewal window, and the official board link for each. Working in another compact jurisdiction under a multistate privilege does not necessarily mean you hold a separate license there.
Add a separate column for assignment-specific obligations. Facility onboarding, competency checks, background screening, and required workplace education may affect whether you can start work, but they are not interchangeable with board-approved continuing education. Ask the agency which items belong to credentialing and which are claimed toward license renewal.
Build a requirements matrix before selecting courses
For every license, list the applicable renewal period, required hours or alternative competency route, targeted subjects, accepted providers, and reporting method. Include certification renewal on a separate row if you maintain a specialty credential. Capture the source and date of each rule check so an old spreadsheet does not quietly become your only authority.
Map proposed courses to those rows. A course may satisfy more than one jurisdiction when each jurisdiction accepts the provider, subject, completion date, and credit designation. That is different from counting the same activity twice within one renewal requirement. Resolve uncertainty before purchase, particularly for mandated subjects and APRN pharmacology.
Use one calendar and one certificate archive
Set reminders well before each expiration date, with separate tasks for finishing education, checking reported credit, and submitting the renewal application. A subscription anniversary is not a license renewal deadline. Where your licenses have different cycles, label certificates with the completion date rather than assigning everything to the year you purchased access.
Keep an archive you control outside an agency portal. Useful fields include course title, provider, completion date, contact hours, approval statement, designated specialty credit, and certificate filename. Store a readable certificate and preserve supporting course information when needed. Do not add patient details or confidential assignment records to your CE tracker.
Recheck the plan at each assignment change
Before accepting a placement, verify the license or privilege supporting practice where the patient will be located. Review any residence change separately: temporary travel and a permanent move are not the same compact event. Ask the board about unfamiliar circumstances instead of assuming the recruiter's credentialing checklist settles legal eligibility.
At the end of an assignment, download certificates from employer systems while you still have access. Compare completed education against the next renewal requirement, not merely the current contract. If your agency supplies a course you already completed elsewhere, ask whether the existing certificate meets its onboarding policy before buying another version.
Checklist
- List every active license and certification, with its own expiration date.
- Separate board requirements from facility onboarding and agency preferences.
- Verify acceptance before assigning one course to multiple renewal plans.
- Schedule completion, reporting checks, and application submission as separate tasks.
- Export employer-hosted certificates before a contract or account ends.
- Keep submission confirmations alongside the education records supporting them.
Exceptions and limits
- A multistate RN license does not remove separate APRN authorization or certification obligations.
- Inactive status, reactivation, first renewal, and disciplinary conditions may require a different plan.
- Employer acceptance does not establish board acceptance, and a board-accepted course may not satisfy a facility's own training policy.
